Exhibit Booth Cancellations
Signed reservation forms, online website reservations, email reservations and verbal requests are all subject to the cancellation policy.

All cancellations must be emailed to info@ChargeExpo.com

Exhibitor specifically recognizes and acknowledges that Show Management will sustain certain losses if Exhibitor cancels its exhibit space after it has been assigned and confirmed by the Show Management. Due to the difficulty, if not impossibility of determining and proving said losses, Exhibitor agrees to pay the following amounts as liquidated damages, and not as a penalty, if Exhibitor cancels all or part of its exhibit space on or within the time periods specified.

TIME PERIOD LIQUIDATED DAMAGES:

Booths cancelled by June 1st receive a 100% refund.

Booths cancelled by October 1st receive a 50% refund or owe 50% of the full price of $5,000 for a single booth and $10,000 for a double booth.

There are no refunds for booths cancelled after October 1st, and 100% of the full price of $5,000 for a single booth and $10,000 for a double booth.

Prior to October 1, 2019 50% of rental fees On or After October 1, 2019 100% of rental fees Upon cancellation by Exhibitor, Show Management has the right to resell the space and retain all revenue collected. Any such re-sale shall not reduce the amount of liquidated damages to be paid by Exhibitor.

Registration – Cancellations and Substitutions

Cancelled registrations may be transferred to another new attendee at any time by sending the following to info@ChargeExpo.com:

Attendees may cancel, and receive full credit to the following years conference, minus a $150 service fee.

There are no refunds for cancelled registrations.

Cancellation policies are in effect upon submission of registration.

Speakers Cancellations
By submitting an abstract you agree to attend the conference if your abstract is accepted.  Abstract acceptance is sent via email within 7 business days of submission through our website.  Once the acceptance is sent, a speaker has 7 days to retract their submission.  After 7 days the speaker is subject to the following:

Cancelled by August 1st receive a 50% refund or owe 50% of the full speaker registration rate of $1,395.

No refunds for cancellations after August 1st, and 100% of the full speaker registration rate of $1,395 is due.

In the event that you are not able to attend you agree to take every measure to provide a qualified replacement to present on your behalf.  If your replacement is presenting multiple papers, they may be subject to additional speaker fees.

Speaker specifically recognizes and acknowledges that Show Management will sustain certain losses if Speaker cancels an is unable to present, without providing an adequate replacement, after it has been of assigned and confirmed by the Show Management. Due to the difficulty, if not impossibility of determining and proving said losses, Speaker agrees to pay the following amounts as liquidated damages, and not as a penalty, if Speaker cancels all or part of the presentation: LIQUIDATED DAMAGES 100% of Speaker “On-site” Registration rate of $1,395, Show Management has the right to replace with alternative Speaker and retain all revenue collected. Any such Replacement shall not reduce the amount of liquidated damages to be paid by Speaker.

Speaker Travel & Hotel Accommodations
All costs associated with Travel and Hotel accommodations is the sole responsibility of the Charge Expo Speaker.

CANCELLATION BY “SPECIAL PASS RECIPIENTS”: “Special Pass Recipients” specifically recognize and acknowledge that Show Management will sustain certain losses if the “Special Pass Recipient” cancels and is unable to attend after the “Special Pass” has been of assigned and confirmed by the Show Management. Due to the difficulty, if not impossibility of determining and proving said losses, the “Special Pass Recipient” agrees to pay the following amounts as liquidated damages, and not as a penalty, if the “Special Pass Recipient” cancels 3 days or less of the 2019 ChargeExpo. LIQUIDATED DAMAGES: 100% of Full ChargeExpo Registration “On-site” ($1395.00).

Funds are non-transferable.  Funds owed or paid for one ChargeExpo service item may not be transferred toward another ChargeExpo service item. Exhibits, registrations, sponsorships, ads, etc. are all separate service items.  Ex: You can not cancel a booth and use the monies paid/owed toward a sponsorship.

Optional Items Cancellations
Golf, flash drives, meal tickets, workshops, sponsorships or any other optional purchase will not receive a credit or refund at any time.

Change in Registration Type
Refunds are not available for change in registration type.  ex:  A full conference registration is $100 more than a speaker registration.  If you register as a full conference attendee, then submit a paper, you will not receive a $100 refund.

Hosted Events
All events held during the published conference dates, including move in and move out, must be approved by ChargeExpo regardless of time, locations, duration or invitees.  Under no circumstance can any gathering be conducted during show hours.  Events conducted without the written approval on ChargeExpo may be subject to immediate dismissal from the event and fines to cover losses incurred by ChargeExpo and all attendees.

Exhibitor Rate
The contracted exhibitor rate is good for names submitted with the booth reservation.  All other Exhibitors should be registered individually through the ChargeExpo website registration page.

Badge Swapping
A conference badge of any type is intended for the person named on the badge.  Anyone wearing a badge that is not in their name, will be asked to leave the facility, and the company of the person named on the badge will be charged the maximum registration rate of an on-site registration.

Spouse Passes
This registration allows one spouse to attend the exhibit halls, technical sessions and welcome reception with a full conference registrant.  Spouses with different last names will be asked to validate.  Registration is subject to the planner’s discretion.  False registration is subject to the maximum registration rate and billed to the full registrants company.

Passes vs. Full Registrations
Any registration that is termed a “Pass”  includes access to the exhibit hall and technical sessions.  ex. Student Pass, Spouse Pass, Utility Pass etc.  A “Full” registration includes access to the exhibit hall, technical sessions, meal tickets, welcome reception, flash drive, spouse pass, etc., unless otherwise notified.

Change in Registration Type
Refunds are not available for change in registration type.  ex:  A full conference registration is $100 more than a speaker registration.  If you register as a full conference attendee, then submit a paper, you will not receive a $100 refund.

Exhibitor Client Passes
The client passes are for access to the exhibit hall and technical sessions only.  They are for new ChargeExpo participants, meaning this must be their first time attending an ChargeExpo conference and their companies first time attending the conference.  All passes are subject to verification and ChargeExpo reserves the right to end the submittal opportunity at any time.
